1. Who we are

Proxy Politics ("we," "us," or "our") is a political consulting practice serving candidates and campaigns in Washington State and nationwide. Our services include campaign advisory and planning, AI campaign agents integrated with campaign systems, AI data audits, email and SMS outreach, fundraising support, and data analytics. This Privacy Policy explains how we collect, use, and protect information when you visit our website, contact us, or when we provide services to client campaigns.

2. Information we collect

Information you provide

• Contact form submissions: name, email address, the office you are seeking, election date, and any details you share about your campaign.
• Email correspondence: information you include when you email us directly.

Information collected automatically

• Standard server logs and basic analytics data, such as pages visited, browser type, and approximate location derived from IP address. We do not use this data to identify individual visitors.

3. How we use your information

• To respond to your inquiries and schedule consultations.
• To prepare proposals and provide services you request.
• To improve our website and understand how visitors use it.
• To comply with legal obligations.

4. What we do not do

• We do not sell your personal information.
• We do not share your information with third parties for their own marketing purposes.
• We do not add you to marketing lists without your consent. Contacting us about your campaign does not subscribe you to anything.

5. Client campaign data

In the course of providing services, we handle data on behalf of client campaigns. Depending on the engagement, this may include:

• Voter file data, including voter contact information and turnout history;
• Supporter, volunteer, and event attendee lists;
• Donor records, including contribution amounts and giving history;
• Email and SMS engagement data (sends, opens, clicks, responses, opt-outs);
• Ballot return and election data;
• Campaign spend, budget, and performance data.

That data belongs to the client campaign. We process it only as directed by the client, protect it with appropriate technical and organizational safeguards, do not use one client's data for the benefit of another, and return or delete it at the end of the engagement as the client directs, subject to any legal retention requirements.

6. AI agents and access to campaign systems

Some of our services involve deploying AI agents that connect to systems a client campaign uses — such as voter file platforms, email and SMS tools, donation processors, spreadsheets, and analytics tools — and AI audits that analyze data across those systems. For these services:

• Access is granted by the client and scoped to what the engagement requires, using read-only access wherever possible;
• Agents operate inside the client's accounts and under the client's direction; the client may revoke access at any time;
• All access is revoked at the end of the engagement;
• We do not use client campaign data to train AI models, and we require the same of the AI providers we use;
• Outputs of AI analysis (reports, findings, answers to data queries) are delivered to the client and treated as the client's confidential information.

7. If you received a message from a campaign we work with

We send email and SMS on behalf of client campaigns. For those messages, the campaign — not Proxy Politics — determines the audience and content, and is the controller of your data. Every message we send includes the required sender identification and a working way to opt out. Opt-outs are honored immediately. If you have questions about how a campaign obtained your contact information, contact the campaign identified in the message; if you believe we sent a message in error, you can also contact us at hello@proxypolitics.com.

8. Service providers

We use reputable third-party providers to deliver our services — such as email and SMS sending platforms, website and data hosting, analytics tools, and AI model providers. These providers process data only to provide their services to us and are bound by contractual confidentiality and data-protection obligations. We do not permit them to use client or visitor data for their own purposes.

9. Cookies and analytics

Our website may use essential cookies required for basic functionality and privacy-respecting analytics to understand site traffic. We do not use advertising or cross-site tracking cookies.

10. Data retention

We retain inquiry information for as long as needed to respond and, if you become a client, for the duration of our engagement plus any period required by law or professional record-keeping standards. Client campaign data is returned or deleted at the end of an engagement as described in Section 5.

11. Your rights

You may request access to, correction of, or deletion of the personal information we hold about you by emailing hello@proxypolitics.com. Washington residents may have additional rights under Washington state law, including the Washington My Health My Data Act where applicable. If your request concerns data we process on behalf of a client campaign, we will refer the request to that campaign and assist them in responding.

12. Security

We use reasonable administrative, technical, and physical safeguards to protect your information, including scoped system access, encryption in transit, and access controls on client data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

13. Children

Our website and services are not directed to children under 13, and we do not knowingly collect information from them.

14. Changes to this policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be posted on this page.
